Job Description:
The Alumni Coordinator is a sales-oriented, organized, proactive, and charismatic professional responsible for building long-term relationships with alumni while supporting outreach and admissions growth. This role focuses on engaging graduating clients, maintaining strong alumni connections, and leveraging alumni relationships to drive referrals, re-engagement, and community visibility.
Reporting to the Director of Business Development, the Alumni Coordinator works closely with residential, outpatient, clinical, admissions, and marketing teams to integrate alumni engagement into the full continuum of care. The ideal candidate is comfortable with outreach, follow-up, CRM tracking, and relationship-based sales, while maintaining empathy and professionalism within a recovery-focused environment.
This position blends alumni relations, outreach, admissions support, and event coordination, with a strong emphasis on measurable engagement and growth.
Education and Training Qualifications:
- 1–3 years experience in substance use treatment, behavioral health, admissions, outreach, sales support, or alumni relations
- Strong organizational, communication, and interpersonal skills
- Proven ability to follow up consistently and build long-term relationships
- Comfortable working in a sales-oriented, outreach-driven role
- Ability to manage multiple priorities in a fast-paced environment
- Valid ID and SSN
- Valid First Aid/CPR/AED certification, Health Screen Results, negative TB and Drug test results.
- Must pass a comprehensive background check.
- Ability to work onsite.
Preferred
- Experience working with alumni or recovery communities
- Familiarity with CRM platforms (Kipu, Salesforce, HubSpot, or similar)
- Bachelor’s degree in business, marketing, communications, behavioral health, or related field, or equivalent experience
- Personal or professional experience with recovery communities (where appropriate)

Essential Duties and Responsibilities:
Alumni Engagement and Outreach
- Engage graduating clients prior to completion of treatment to educate them on the benefits of joining the Alumni Program
- Ensure graduating clients enroll in the Alumni Program
- Maintain consistent outreach with alumni via phone, email, text, and virtual platforms
- Build and maintain relationships with alumni, families, and community partners as appropriate
- Encourage alumni advocacy, including referrals, testimonials, reviews, and participation in outreach initiatives
- Recognize and celebrate alumni milestones and achievements in compliance with HIPAA and confidentiality guidelines
- Represent the organization in community events
- Promote recovery awareness and stigma reduction
- Assist in alumni-driven campaigns or speaking engagements
Sales, Outreach, and Referral Development
- Generate and track alumni-driven referrals and re-engagement opportunities
- Partner with Admissions and Business Development teams to qualify and convert alumni-related leads
- Support outreach initiatives designed to increase census and brand awareness
- Identify and cultivate alumni ambassadors to support referral and outreach efforts
- Maintain a sales-oriented mindset while balancing empathy and ethical engagement
- Offer insight into external support networks (e.g., Al-Anon, AA, NA)
- Connect clients with community-based resources
- Share practical tips for accessing these services
Alumni Programming and Events
- Plan, organize, promote, and facilitate alumni activities including virtual and in-person events
- Lead weekly alumni Zoom meetings or other structured alumni support activities
- Develop alumni event calendars and assist with promotional efforts
- Track attendance, participation, and outcomes of alumni events
Admissions and Business Development Support
- Cross-train with the Admissions team to support admissions activities as needed
- Assist with follow-up calls, lead nurturing, insurance verification, pre-admission documentation, and scheduling
- Train under the Director of Business Development to develop skills in converting leads to admissions
- Maintain clear communication and collaboration with clinical and operations teams
Administrative and CRM Responsibilities
- Accurately input and maintain alumni and lead information in CRM systems
- Manage documentation requiring signatures or authorizations
- Maintain accurate records and reports in compliance with company policies and regulatory standards
- Track alumni engagement metrics and outreach activity
