Job Description:
The Administrative Assistant provides essential support to ensure smooth day-to-day operations and effective communication within the organization. This role includes managing calendars, emails, and travel arrangements, preparing documents, and assisting with meetings. The Administrative Assistant acts as a reliable point of contact for internal teams and external partners, always maintaining professionalism and confidentiality. Strong organizational skills, attention to detail, and proficiency with office tools are key to success in this position.
Education and Training Qualifications:
- Bachelor’s degree in business administration, healthcare, or related field preferred.
- Minimum 3–5 years of experience providing executive-level administrative support.
- Should have knowledge of Microsoft Office Suite products. Knowledge of basic office equipment.
- Ability to work well with clients, associates and the public.
- Valid ID and SSN
- Valid First Aid/CPR/AED certification, Health Screen Results, negative TB and Drug test results.
- Must pass a comprehensive background check.
- Ability to work onsite.
Essential Duties and Responsibilities:
Core Administrative Tasks
- Calendar Management: Schedule meetings, manage conflicts, send reminders, and coordinate across multiple stakeholders.
- Email Management: Screen, prioritize, and draft responses; flag urgent items.
- Travel Arrangements: Book flights, hotels, transportation, and prepare itineraries.
- Document Preparation: Draft letters, memos, reports, and presentations.
- Meeting Support: Prepare agendas, take minutes, and follow up on action items.
- High level of confidentiality is a must.
Executive-Level Support
- Gatekeeping: Manage access to you, filter calls and visitors, and maintain confidentiality.
- Project Coordination: Track deadlines, assist with project documentation, and ensure deliverables are on time.
- Information Management: Organize files (digital and physical), maintain databases, and ensure version control.
- Research & Briefing: Gather background information for meetings, prepare briefing notes, and summarize reports.
Communication & Relationship Management
- Internal Liaison: Act as a point of contact between you and staff or leadership teams.
- External Liaison: Handle communications with partners, vendors, and stakeholders professionally.
- Professional Correspondence: Draft polished emails, letters, and official communications.
Technical & Organizational Skills
- Proficiency in Tools: Microsoft Office Suite, Teams, OneDrive, SharePoint, and scheduling platforms.
- Data Handling: Basic analytics, creating charts, and maintaining spreadsheets.
- Confidentiality & Discretion: Handle sensitive information securely.
Additional High-Value Tasks
- Event Planning: Organize leadership retreats, conferences, and team-building activities.
- Expense Management: Track budgets, process reimbursements, and manage invoices.
- Reporting: Prepare weekly/monthly summaries, dashboards, and KPIs for leadership.
